Job Description
SUMMARY Coordinate all requests for Center services, incorporating clinical information, insurance coverages, special contracts and knowledge of all Center programs. Orient callers to Client Access Center process. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. -Answer all telephone calls directed to the Intake Department including face-to-face interviews with walk-in consumers who are seeking services -Gather demographic and insurance information, verify insurance coverages, all using Epic software. -Gather presenting reasons for treatment, risk factors in order to make determination if emergency services or medical clearance is required. -Investigate and problem solve clinical and/or insurance issues to completion -Assess the nature of the problem, the urgency of the situation and appropriateness for Center services. - Schedule Intake assessments for both Adult and Child & Family Access Center, based on the above process. Program Requirements: -Have a clear understanding of CNE referrals and other priority referrals that are seeking services -Handle crisis calls over the phone and/or face-to-face, seek out clinical staff when necessary -Maintain knowledge of all Center programs (Child & Family, BHOP, Home Health, CSP) Documentation Requirements: -Using Epic software, enter all demographic, insurance coverage, and clinical information - Assure all areas (Referral Entry/Co-pays) are entered accurately -Refer to appropriate community resources, when applicable, or based on program capacity or lack of appropriate services within the Center. -Knowledge of community referrals (psychiatric, substance abuse, medical, developmentally delayed) -Answer general questions regarding Center services, fees and insurance information, available community resources, referral sources and general mental health questions. -Advise family members and other appropriate individuals regarding access to mental health and substance abuse services for individuals who are resistant to treatment. Customer Service: -Answer all incoming phone calls within 3 rings. - Work in cooperation with co-workers and supervisory staff - Provide excellent customer service to all callers/contacts/referrals of any kind -Maintain cooperative relationships with consumers, other employees, managed care companies, community agencies and the public. - Deal with co-workers regarding problems in a constructive manner Insurance Responsibilities: - Verify insurance coverage using Real Time Eligibility in Epic. When needed, verify coverage using : EDS, for any Medicaid based insurances - Have working knowledge of TPC coverages in Epic and set up accurately - Call Managed Care companies on insurance’s that need verification -Work in cooperation with Business office at all Providence Center locations, when applicable - Investigate and problem solve insurance issues as needed Other Duties: - As needed, train and cover the client Intake Administrative process, of checking clients in and complete all necessary consent forms for new Intakes, meeting with them face to face. -Assist Lead Intake Specialist as needed. -Accept and use direction and supervision -Benefit from constructive criticism -Attend trainings and conferences -Provide feedback to staff on the content of educational programs attended - Complete mandatory inservice trainings and other trainings required
Required Education
Bachelors degree in Human Services preferred, but will consider work experience and knowledge of Behavioral health. Bilingual in Spanish is required.
